This Privacy Policy applies to your use of the Wokaim workforce management platform, applications, and APIs. By accessing Wokaim, you acknowledge the collection, processing, and handling of organization and personal data in strict compliance with this document.
2. Information Collected
Wokaim collects and processes data essential to provide workforce, timesheet, and payroll capabilities:
- User & Profile Data: Full name, verified business email, contact number, assigned company roles, job titles, and departmental hierarchy.
- Timesheet & Attendance Logs: Real-time check-in and check-out timestamps, recorded daily hours, task descriptions, and manager approval or rejection states.
- Digital Onboarding Artifacts: Identity documents, government identification records, signed company policy acknowledgements, and employment agreements.
- System Telemetry & Access Data: Browser user agents, IP addresses, login histories, and security session markers used strictly to prevent unauthorized access.
3. Utilization of Information
Data collected is strictly used for platform operation and enterprise fulfillment:
- Calculating daily/weekly work hours and preparing accurate gross-to-net payroll summaries.
- Facilitating leave application workflows, balance deductions, and public holiday calendars.
- Processing paperless employee onboarding journeys with auditable electronic policy acknowledgements.
- Dispatching transactional security alerts, verification OTPs, and automated digest emails.
4. Multi-Tenant Data Isolation & Security
Wokaim enforces database-level tenant segregation based on unique company identifiers (company_id). No employee, manager, or administrator can view or modify records outside their organization's boundary. All communications are secured via TLS 1.3 encryption, and documents are stored in encrypted S3/MinIO cloud object stores.
5. Third-Party Sharing & Disclosure
Wokaim does not monetize, sell, or rent your personal data to third parties or advertising networks. Data is only processed through trusted operational infrastructure providers (such as SMTP email relays, cloud storage, and payment processors) or when formally required under applicable law.
6. User Rights & Data Deletion
Employees and administrators have the right to inspect, update, or request permanent deletion of their uploaded records. When a file is deleted from Wokaim, our automated cleanup service physically purges the underlying binary object from our cloud storage buckets.
7. Policy Amendments
Wokaim reserves the right to amend this Privacy Policy to maintain alignment with evolving legal standards. Continued platform usage after revisions indicates acceptance of the updated terms.
